Franking Machine Error Codes: Fixes For Pitney Bowes, Quadient & FP

Illustration of a franked envelope with the title Franking Machine Error Codes: Fixes For Pitney Bowes, Quadient & FP

It's always at the worst moment. The post needs to go in twenty minutes, there's a pile of invoices on the desk, and the franking machine flashes up a message you've never seen before. Before you ring the helpline and sit on hold, it's worth knowing that most franking errors fall into a handful of groups, and plenty of them you can sort yourself in a couple of minutes.

One important thing first: the exact error numbers differ between brands, and often between models from the same brand. A code on a Pitney Bowes machine means something different to the same number on a Quadient. So this guide is organised by what's going wrong, with the fixes that work across most machines. Always check your model's user guide or online help for the meaning of a specific code.

Download and connection errors

Modern Mailmark machines need to talk to the manufacturer's servers. They use the connection to download postage credit, update rates, and send usage data that's part of the Mailmark system. When that link fails, you'll see messages about connection, download, or inspection.

What usually causes it

  • The office internet is down, or the machine has lost its Wi-Fi.
  • A network cable has been knocked out.
  • Your firewall or a new router is blocking the machine.
  • The manufacturer's service is having a temporary problem.

What to try

  1. Check other devices in the office can get online.
  2. Look at the cable or Wi-Fi settings on the machine. If someone's changed the Wi-Fi password, the machine won't know.
  3. Turn the machine off, wait thirty seconds, and turn it back on.
  4. If you've recently changed router or IT provider, ask them to check that the machine is allowed through the firewall.
  5. Try again later in case the problem is at the manufacturer's end.

Why it matters. Many machines need to connect regularly. If one goes too long without connecting, it may stop letting you frank until it does. Don't ignore repeated connection warnings.

Postage credit errors

These are the "insufficient funds" type messages. The machine franks against credit you've added in advance, and when it runs low it'll stop.

What to try

  • Top up through your online account or the machine's menu, then download the credit to the machine.
  • Check the top up has actually gone through. Payment failures can leave you thinking you've added credit when you haven't.
  • If you've added funds but the machine still shows a low balance, do a manual download or connection from the menu.

Set a low balance alert if your machine or account offers one. It saves a lot of last minute panic.

Ink errors

Ink messages are some of the most common. They usually mean the cartridge is low, empty, not recognised, or not seated properly.

What to try

  1. Take the cartridge out and put it back in firmly, making sure any protective tape has been removed.
  2. Check you've got the right cartridge for your model. Cartridges look similar between models but often aren't interchangeable.
  3. If you're using a compatible cartridge, try a genuine one. Some machines reject cartridges they can't verify.
  4. Run a print head clean from the menu if the print is faint or streaky, but don't run it over and over, as it uses ink.
  5. Print a test impression to check quality.

Faint or patchy prints. Even if there's no error message, a weak print is a problem. Royal Mail needs to read the Mailmark barcode, and only franked items with a Mailmark barcode are accepted (Royal Mail Business Price Guide, checked October 2026). If prints look poor, fix it before you send the mail.

Our franking ink cartridges guide covers cartridge choices in more depth.

Scale and weighing errors

Scale errors appear when the machine can't get a stable reading, the item's too heavy, or the scale wasn't zeroed.

What to try

  • Remove everything from the scale and restart the machine so it zeros properly.
  • Make sure nothing is leaning on the platform, like a stack of envelopes or a cable.
  • Check the machine is on a firm, level surface. A wobbly desk can upset readings.
  • If you've gone over the scale's limit, weigh the item on a separate weighing platform or use a different service.
  • For differential weighing machines, take items off one at a time and give the machine a moment to register each one.

If the scale is consistently giving wrong weights, it may need recalibrating. That's a job for your supplier, not something to fiddle with yourself.

Feeding and jamming errors

Jams happen when an envelope is too thick, too floppy, or fed at an angle.

What to try

  1. Open the access cover and gently remove the stuck item. Don't yank it.
  2. Check the envelope is within your machine's thickness limit. If it's too thick, use a label.
  3. Make sure flaps are sealed or tucked in properly. Open flaps catch easily.
  4. Feed envelopes square to the guide.
  5. On automatic feeders, don't overfill the hopper, and fan the envelopes so they're not stuck together.

Mailmark and date errors

Mailmark related messages often point to a problem with the machine's registration, a missing software update, or a date setting.

What to try

  • Let the machine connect and download any pending updates.
  • Check the date. Some machines need you to advance the date manually each morning, and mail franked with the wrong date can cause problems.
  • After Royal Mail price changes, make sure the new rates have downloaded. Royal Mail's April 2026 change, for example, needed machines to be updated before 7 April (Royal Mail, checked October 2026).

If you see a Mailmark error you can't clear, contact your supplier. These usually need to be fixed at their end.

Power and screen problems

Sometimes there's no error code at all, just a blank or frozen screen.

What to try

  • Check the plug and the socket. Try a different socket, and avoid cheap multi way adaptors that are already running a kettle and a heater.
  • Hold the power button for a few seconds to force a full shutdown, then restart.
  • If the touchscreen isn't responding, clean it gently with a dry cloth. A greasy screen can stop taps registering.
  • If the machine powers on but freezes during start up, leave it a few minutes. It may be installing an update.

If none of that works, it's time to call support.

Brand specific help

Pitney Bowes. Pitney Bowes has online support for its DM series and SendPro machines, including searchable help for error messages. See our Pitney Bowes page for an overview of the range.

Quadient (formerly Neopost). Quadient's online help covers the iX series and older IS models. Older guides may still use the Neopost name. See our Neopost and Quadient pages.

FP. FP provides support for PostBase and older machines through its own site and dealers.

If you bought through a dealer, they're often the quickest route to help, especially for errors that need a remote fix.

When to call support

Stop troubleshooting and ring for help when:

  • The same error keeps coming back after a restart.
  • The scale needs recalibrating.
  • You see anything about registration, tampering or meter faults.
  • The machine has physical damage or is making unusual noises.
  • You've lost postage credit or your balance looks wrong.

Have your machine's serial number, model, and the exact error message ready. A photo of the screen helps.

For basics like setting up and daily use, our how to use a franking machine guide and our Mailmark explainer are good places to start.

Keep a simple log of errors, too: date, message and what fixed it. It helps the engineer and shows a pattern if the machine is failing.

FAQs

Can I still post mail if the machine's broken?

Yes, use stamps or Royal Mail Click & Drop until it's fixed.

Will turning it off and on lose my postage credit?

No. Credit is stored securely on the meter and in your account.

Is a repair covered by my lease?

Often, but not always. Check whether your contract includes service and parts.

Looking for a more reliable machine?

If your machine is old and constantly throwing errors, a newer model on a better contract might cost you less in lost time. Compare franking machine prices.
